Appointment letter (offer letter) for an employee

A letter from the employer that gives a new employee the job title, joining date, salary, working hours, probation and notice terms in writing.

This is a sample, not an official form. Offices differ. Check this text with the issuing office before you sign, and use the office's own form if it gives you one. Govt License does not give legal advice.

What it is for

Use it when you hire someone. A written appointment letter avoids confusion about salary and terms, and employees need it for PF, ESIC, bank and loan papers.

Who signs

The employer or an authorised person signs. The employee signs a copy to accept the terms.

Common questions

Is an appointment letter compulsory?
The law does not ask for one in every case, but it is good practice. Some state laws, such as shop and establishment rules, ask the employer to give written terms. A letter also helps with PF, ESIC and loan papers.
What should be in an appointment letter?
The job title, joining date, salary, working hours, leave, probation, notice period, place of work and confidentiality. Add anything else the company has agreed with the employee.
Can the salary be changed later?
Only as agreed in writing between the employer and the employee, and not below the minimum wage that applies.
